Back Up Care Coordinator—Closed

We have an awesome care coordinator/administrative assistant. We adore her. And sometimes, she needs to go on vacation or take care of her cat or do other things that help her be a whole human. That’s where you come in. We’re looking for a someone who can fill in her for a few times a year for planned vacations and someone who might be available last minute if she were out unexpectedly for more than a day or two.

Care Coordinator—

We are looking for a Care Coordinator/Administrative Assistant to join our team in a part-time capacity at 15 to 20 hours a week, with room to grow. This position is, and will remain, 100% remote. Our ideal candidate is detail-oriented and is able to keep track of multiple processes at once. Many of our clients face regular micro-aggressions based on the target groups they belong to; the ideal candidate prioritizes interacting with clients from a trauma-informed perspective, with patience, compassion and genuine care. We will train for the right fit. 

Primary responsibilities include:

  • Processing all new clients administratively: confirming initial appointments with clients; entering client information into our EHR, insurance verification; managing new client paperwork process.

  • Supporting biller with billing issues for all clients: contacting clients about outstanding balances/credit card updates; communicating with clinicians/director regarding persistent client billing issues.

  • Assisting in other administrative responsibilities as needed, such as: updating referral directory listings; electronically filing paperwork; documenting and updating policies/procedures; communicating changes to clinicians; assisting with payroll; troubleshooting tech issues; assisting with onboarding; etc.

To be successful in this position, the candidate must:

  • Display excellent verbal and written communication skills. This includes communication that is direct, compassionate, and thorough.

  • Be responsive, organized and efficient.

  • Be able to follow detailed processes (we will train you!), problem solve on your own, and ask for help when you need it. 

  • Enjoy working a little bit each day (M-F) throughout the week. While exactly when the work gets done within a 24 or 48 hour time period is often flexible, this position does require availability during daytime hours so that you can make phone calls to clients  as needed.

  • Be comfortable working independently.

  • Have a demonstrated commitment to intersectional feminism. The right fit will be LGBTQIA affirming, culturally humble, and trauma-informed

We'd prefer that the candidate have:

  • Experience with mental health care navigation (personally or professionally).

  • A functional understanding of HIPAA compliance.

  • Proven track record communicating respectfully and compassionately with stakeholders.

  • Solid boundaries and an understanding of what promotes work life balance.

  • An understanding of the unique needs of our clients, and communication that is tailored accordingly.

  • A desire to grow the role alongside our businesses growth. For the right candidate, this position could expand to cover more of our administrative tasks and/or client facing needs such as intake calls.

Technology Required:
Internet access; a computer that has a web browser compatible with GSuite and workstation setup that allows for private phone calls to be made (can be done through computer)
